FAQs

What attendance options are there for Thursday 7 November?

EMWA are running a hybrid conference day on Thursday 7 November, meaning you can choose how you would like to attend. You may attend live at one of our Local EMWA Hubs across Europe where you and EMWA colleagues can network whilst viewing the online content. Alternatively, you may attend the day virtually from the comfort and convenience of your home or office.
Whether you are attending in person or virtually you will have the same opportunities to view the content, interact and ask questions.

What attendance options are there for Monday 11 - Monday 25 November?

All sessions taking place after Friday 8 November will be taking place virtually. This means you can attend from the comfort and convenience of your home, office, or wherever else you can think of, through your personal computer or alternative device. This will be the usual EMWA conference experience full of networking, great speakers, workshops etc., but via an online platform for a shared unique experience.

How do I register for the November conference?

Register for the conference by selecting the ‘Registration’ option from the EMWA conference website. Follow the on-screen instructions by logging into your EMWA web record and filling out the information required to register. The process is the same as registering for the in-person conference, or for one of our previous virtual conferences.
When registering, you will be asked to specify how you will be attending the hybrid day on Thursday 7 November.

What platform is the virtual event taking place on?

To attend the meeting you will need access to the Zoom application. Check in advance whether you have Zoom! Make sure that you have the latest version at https://zoom.us

Have a good internet connection: If possible, use a cable connection and don’t rely on WiFi.  WiFi can cause issues or interruptions. You can test the speed of your connection here

Test your video and sound here: https://zoom.us/test (spend about 5 minutes on this before you join the meeting)

Try to ensure that other applications on your computer or laptop are closed. Use your Task manager to shut down other applications using bandwidth.

Make sure your camera works and your light conditions are reasonable (e.g. don’t have a window behind you). You won’t need your camera on during the entire event, but it would be great to see your face during the networking sessions.

Sound: a good headset with a microphone is usually the best, but if you have good experience with your built-in laptop microphone and loudspeaker, you can use those if you are in a silent environment.

What time zone are you using for the sessions?

All timings shown on the website for sessions are using the Central European Time Zone so please ensure that you take note of the time in your own location for the sessions you wish to attend.

When will I receive instructions for how to attend the conference?

EMWA will send you the necessary instructions 1 week prior to the event. Make sure that the email address associated with your registration is accurate and up to date so that there are no delays in receiving our communications.

How much does it cost to attend the conference?

Prices for the EMWA conference can be viewed here.

Can my computer or mobile device handle the virtual event?

Most up-to-date computers and mobile devices such as laptops, desktops and handheld tablets are capable of running the virtual event for you. We would advise that you perform a system checker to analyse your internet connection and network settings to make sure that they are optimised for your viewing experience.

What do I need to do on the day of the event?

If you are attending the conference at one of our live venues (Local EMWA Hubs), you will be sent full details of on-site registration, including directions and instructions about what to do when you arrive. If you are attending virtually you will receive a calendar invitation containing a link to Zoom to access the virtual session. If you have registered to attend any EPDP workshops, you will receive calendar invites containing the link to each workshop individually. The timing for each session will be specified in the invite, please note this is in Central European Time. If you live outside of this time zone, it is your responsibility to ensure you log in at the correct start time in your location.

Can I gain credits for the EPDP workshops?

Yes, each EPDP workshop run at the virtual conference will be for credit. To gain a credit, you must do the pre-workshop assignment (if applicable), attend the workshop, and satisfactorily complete the post-workshop assignment. Full details can be found in the EPDP brochure.

Can I ask questions during sessions?

Yes! We encourage you to ask questions at any time using the chat function on Zoom. There will be dedicated times for questions where a session moderator will ask questions received. There may also be the opportunity to unmute yourself to ask a question yourself.
If you have registered for an EPDP workshop, we will send you more information that includes instructions about communicating in a workshop.

Can I share my virtual conference login information with my colleagues?

Everyone who wishes to attend must register separately. EMWA Head Office will be monitoring the waiting room and only allowing access to those who have registered. Please do review the programme closely: there are options open to non-members should your colleagues who are not EMWA members wish to attend to gain more of an insight into EMWA (See Non-member Registration) EMWA Head Office will be on hand to help people with any membership questions should people wish to join at any point before, during or after the conference.

Can I access and view recordings from any sessions during the virtual conference?

Your virtual conference registration includes access to recordings. Note, however, that not all sessions are being recorded (no EPDP sessions for example will be recorded). Sessions that are recorded will be available for you to access at no additional charge.

Who do I contact if I have any technical issues on the day?

Please contact EMWA Head Office on membership@emwa.org or by telephone +44 1625 664534 and our dedicated team will assist you. Please note phone lines operate between 9 AM and 5 PM Greenwich Mean Time (GMT +1).
